In our 30 plus years we have developed an enviable library of specifications and forms.  One example is the CAMCO Service Contract Form which has been refined over the years to protect the Association and to insure contractor performance.  The partial list of forms includes a residents, census form, bid solicitation and comparison forms, and a monthly management report form.

The management report organizes Board Meetings with an agenda of  topics for decision and discussion.   Each topic is presented with its background, all relevant information such as specifications and bids received, and finally a management recommendation for action.  In addition to the action items, the monthly report relates every important event concerning the property.  The management report is submitted to the Board prior to each meeting so that Board Members are prepared in advance of the meeting. The report covers the following types of subjects:

1. Specifications for Board approval prior to contractor bidding.
2. Matrix comparisons of contractor bidding responses together with results of reference checks and a recommendation for Board action.
3. Proposed programs for improvements or repairs, including reasoning and costs.
4. Report on employee changes such as vacation schedules, overtime pay, or benefit policies.
5. Results of contractor or employee efforts on previously approved plans.
6. Analysis to determine merits of using contractors versus in-house staff on various projects.
7. Delinquency status report.
8. Actions taken in response to previous Board meeting requests.

A management team consisting of a Community Manager, Accountant, Accounts Receivable and Accounts Payable Clerks and Administrative Assistant are responsible for the delivery of management services to the Association.

The entire property is regularly examined by scheduled walk-throughs. A written report is part of each walk through for review.

We hire, supervise and discharge the employees of the Association.

Detailed job descriptions are prepared for all employees in order to establish mutual expectations for both the employees and management. Job descriptions also provide a standard to measure job performance for the employees' annual review.

CAMCO provides a work order system that ensures work order control while providing a basis for labor efficiency and resident satisfaction.

We prepare and issue work schedules to direct employees and subcontractors for both routine tasks and special projects. We review the performance of direct employees and subcontractors to insure work schedules are being met.

CAMCO establishes preventive maintenance programs for common elements such as driveway recoatings, exterior painting, roof repairs, tree maintenance and equipment maintenance.

We prepare specifications for all contracted services and review the contractor's work to insure that performance adheres to the specification.

CAMCO maintains a 24-hour emergency response service which will assure contractor and management response 24/7.
