A financial team consisting of an Accountant, Accounts Receivable Clerk and Accounts Payable Clerk working at the Direction of our Controller, John Calamari services each client Association. This financial team maintains a comprehensive system of office records, books and accounts in accordance with generally accepted accounting practices and in a manner satisfactory to the Association. Our integrated computer records are readily available to our managers and Board Members.
CAMCO's financial statements are prepared and delivered to Board by the 15th working day of each month. In addition to the complete financial statements, we provide a quick financial summary for the non-accountant that provides cash position, actual performance against the budget, accounts receivable and payable positions and a summary of capital expenditures. The complete set of computerized financial statements include:
1. Balance Sheet
2. Statement of Revenues and Expenses
3. General Ledger
4. A Listing of All Checks Written
5. Copies of All Journal Entries
The initial draft of the coming year's operating budget is given to the Board 90 days prior to the end of the current fiscal year. Working with the budget committee and Board, CAMCO prepares a final budget to meet the Association's budget timetable. A calendarized budget is also prepared. Together with the operating budget, CAMCO prepares a capital budget plan for Board review and cash flow projections as needed.
In conjunction with the Association Treasurer, we create and administer an investment program to maximize the return on the Association's funds.
CAMCO collects, deposits and disburses the funds of the Association within the guidelines promulgated by the Board in a bank account that is exclusively the Association's. There is no co-mingling of funds.
We maintain a computerized accounts receivable system. Individualized computer generated delinquency letters are produced in the enforcement of the Association's delinquency policy. The monthly delinquency list indicates aging and status relative to legal filings. In conjunction with the Association's attorney, we prepare and file small claims actions for the collection of delinquent accounts.
Payment booklets are produced for use by unit owners in the remittance of monthly fees or an Auto Debit Program can be used for remittance of fees electronically.
