Each client is assigned a team consisting of a Community Manager, Administrative Assistant, Accountant and payable/receivable personnel who become knowledgeable with the residents and the property in all its aspects. This team conducts the routine business of the Association and Board.

For each client, CAMCO maintains a complete system of files for important and operational documents and information. These files include but are not limited to the following:

1. Individual Unit Files
2. Association Documents
3. Association Rules and Regulations
4. Association Policies
5. Association Operating Procedures
6. Contracts
7. Insurance Policies
8. Financial Statements
9. Council/Board Minutes
10. Monthly Management Reports

Our Community Managers establish regular and on-going communications with Board members, committee chair people, residents, contractors, and service professionals. In addition to routine communications we immediately notify the Board of any official communications affecting the property received from any federal, state, county or municipal authority.

In conjunction with Board and the documents, CAMCO personnel write insurance specifications and solicit quotes for the Board's review and approval. In response to insurance events, we assemble data and costs to establish the Association claims. We file claims and are available to defend the Association's claims in any adjustment process.

On a regular and routine basis, the Community Manager inspects the entire property noting infractions to the Association's Rules and Regulations. The Administrative Assistant follows up with written communications to the offending owner/resident and notifies the Board in the management report of all enforcement actions taken. On behalf of the Board, we take an advocate's role on the part of residents who make written complaints of rules infractions.

CAMCO will oversee the mechanics of the annual Board elections including:

1. Individual Proxy/Ballots which have proven to increase participation.
2. Candidate solicitation and publication of candidate qualifications.
3. Election publicity
4. Collection of Proxy/Ballots and tabulation.

On behalf of the Board, CAMCO's Community Manager supervises the annual election meeting and the first organizational meeting of the Board. We organize the annual budget meeting and can present the annual budget to the Association.

We assist the Board in the preparation of a regular newsletter to inform the owners and residents of the Board's activities and to publicize items of interest to the membership.

We circulate management memos or flyers to notify residents of utility interruptions, emergencies, or other important items of timely general interest.
